1. What AQFP Connect is
AQFP Connect is an online portal provided by Aqueduct Financial Planning Ltd ("we", "us", "the firm") to the businesses we act for. These terms govern its use by your company and by each person your company authorises to use it ("you").
It is part of the service we already provide to you under our engagement with your company. It is not a separate product, and there is no additional charge for using it. Its purpose is to give you a consistent, single place to see your own financial information and to deal with us, rather than that information reaching you piecemeal by email.
Using the portal is optional. If you would prefer to receive everything by other means, tell us and we will continue to do so.
2. What we provide through it
Depending on the services your company is engaged with us for, the portal may give you:
- Your financial information and dashboards — management accounts, annual accounts and other reporting we prepare for you.
- Your services, jobs and deadlines — what we do for you, what is in progress, what is coming up, and the fees that apply.
- Documents — signed accounts, letters and other documents produced as part of our work, available for you to download when you need them.
- Messages and notices — anything we need to bring to your attention, and anything we need from you, in one place.
- Proposals — where we propose a piece of work, a change to your services or a change to your fees, so that you can read the full terms and record your decision.
- News and Updates — general information about legislative, tax, budget and regulatory changes relevant to your business and to the services we provide you.
Not every section applies to every client, and sections may be added or changed over time.
How we contact you
The portal is the primary place we communicate with you about your engagement. Messages about your own work — proposals, documents, approvals, deadlines and anything we need from you — appear in your Messages area, and we may also send a short email prompting you to read them. Those emails tell you that something is waiting; the message itself stays in the portal.
These messages are part of the service we provide under our engagement with your company. They are not marketing, and they cannot be turned off individually. We keep them proportionate: we group them together where we can, we limit how many emails we send you in a day, and we do not send them overnight. If the volume or the timing does not suit you, or you would prefer a different person to receive them, tell us and we will change it.
General information that is not about your own work — our News and Updates — is separate, and you can turn it off at any time, as set out in section 4.
3. What we do not do
To be explicit about what the portal is not:
- We do not use the information in it to market or advertise anything to you.
- We do not sell, rent or share your information with third parties for their own purposes.
- We do not use it to upsell or cross-sell to you. Where we propose additional work, that is done openly through a proposal you can decline.
The information in the portal is your own information, shown back to you. We are giving you access to it, not using it for any other purpose.
4. News and Updates
News and Updates are part of how we service your engagement: they tell you about changes that affect your business and the services we provide you. They are not marketing.
They are general information about changes in law and practice. They are not advice on your particular circumstances, and you should not act on them without speaking to us about how they apply to you.
If you would rather not receive these by email, you can turn them off in the portal or tell us, and we will stop sending them. You will continue to receive service messages about your own engagement — proposals, document notices and anything we need from you — as those are part of the work itself, and as described under “How we contact you” in section 2.
5. Your access and your responsibilities
- Access is personal to each named user. You are responsible for keeping your sign-in details and any second-factor device secure, and for not sharing them with anyone, including colleagues, who should be given their own access instead.
- Tell us promptly if someone with access leaves your company or changes role, so that we can remove or amend their access.
- Tell us if you believe someone has gained access to your account, or if anything in the portal appears to relate to a company other than your own.
- Use the portal only for its intended purpose, and do not attempt to access information belonging to any other client.
Each user is responsible for their own use of the portal. Where a user accepts these terms on behalf of your company, that acceptance covers the company's use of the portal; it does not relieve individual users of the obligations in this section.
6. Accuracy of the information shown
Figures in the portal may be based on records that are incomplete at the time you look at them, and may be draft or unaudited. Where figures are draft, the portal says so.
Where the portal shows a figure that also appears in signed statutory financial statements or a filed return, the signed or filed version prevails.
Deadlines and due dates are shown to help you plan. Showing a deadline does not transfer responsibility for meeting it, and does not change whose obligation it is under the relevant legislation or under our engagement.
The portal is a way of seeing and exchanging information. It is not a filing service, and nothing is filed with any authority because it appears here.
7. Availability
We aim to keep the portal available but do not guarantee uninterrupted access. It may be unavailable for maintenance or for reasons outside our control. The portal is not your statutory record: you should keep your own copies of anything you need to retain, and we will always provide documents by other means if you ask.
8. Your personal data
We process personal data about you and your company's users — including names, email addresses, and records of when you signed in and what you accepted — in order to operate the portal and provide our services.
Our lawful basis for this is the performance of our engagement with your company and our legitimate interests in servicing that engagement. We do not rely on consent for it, and we do not use this data for marketing.
Full details are in our privacy notice. If you would like a copy, ask us and we will send you one.
9. Changes to these terms
We may update these terms. Where a change is material, we will show you the updated terms in the portal and ask you to accept them before continuing. Minor corrections will not require re-acceptance, and the current version is always available to read in the portal.
We keep a record of which version you accepted and when.
10. Ending access
Access is provided for as long as we are engaged by your company. When that engagement ends, access ends. We will retain records in line with our retention obligations, and will provide copies of your documents on request before access is removed.
We may suspend a user's access without notice if we believe it is being misused or that an account has been compromised. We will tell your company's designated contact if we do.
11. Accepting these terms
By logging in and accepting these terms you agree to them.
- Every user accepts them in respect of their own use.
- A user designated by your company additionally accepts them on behalf of the company. That user confirms they are authorised to do so.
If you do not accept them, tell us and we will remove your access and continue to provide everything by other means.
